Select a real life process/task at work which lacks predictability (it is too variable to be very useful) in terms of the outcomes (e.g., variable quality, cost, cycle time, effort, others, in any combination). Your task is to fix the process by making it consistently predictable (not necessarily the best yet).  Eliminating variation is only the first step of optimization, and you are asked to focus on this one only.  Follow the steps below and make the presentation as directed below.  Note: use the Quality Methods, not Lean. 

 

GUIDELINES FOR PROJECT PRESENTATION (POWER POINT)

 

Slide 1:   Title slide

Project title, Company name (optional), Student’s name, Professor’s name, Course number (MECH  500, year)

 

Slide 2: Problem statement

Very clearly but concisely describe the unpredictable process, and the aspects of unpredictability.  Why is it destructive to the overall flow of value?  Why is it frustrating?   Who are the stakeholders (process owner, process customer, process feeder, process control manager)?  What are stakeholders complaining about?  What are the costs or other consequences of the unpredictability?

 

Slide 3: Ishikawa diagram (mandatory). 

Identify all factors and relevant sub factors to the process.  Identify all sources of variation on the diagram (show which factors are variable using some key symbols, e.g, a heavy line = highly variable, thin line = not variable, etc.) 

 

Slide 4: Root cause analysis using “5 Whys” or other tool

Ask and answer each why.  This is your critical slide and analysis step.  Do a good job.

 

Slide 5: Final root cause description.  

State the root cause(s) of the largest variation(s).

 

Slide 6:  Proposed Remedy

Discuss how arrived.  Why this remedy will fix the problem?  Describe how you arrived at the remedy.  Justify why the proposed remedy is the right one. 

 

Slide 7: Methodology for implementing the remedy

List the specific implementation steps, their costs, timelines, control points to measure the effectiveness, etc.   

 

Slide 8:  Methodology for making the improvement permanent: 

Procedure?  Training?  Other?

 

Slide 9:  Result effectiveness and economics

Compare the “before” and “after” using realistic numerical metrics or explain why the metrics are good assumptions. Must have numbers and % improvement data.  Cost of improvement?  Then calculate the simple payback period: 

AS = annual savings, $/year = the amount of annual of loss due to the existing process unpredictability

IC = one time implementation cost, $ (e.g., the cost of writing the new procedure + cost of training)

SPP = IC/AS, years

 

Slide 10: Reflection and Adjustment

Raise doubts.   Ask “what if” questions.  What might go wrong?  Any new risks identified?

Reflect how good is the remedy, how good it might be under some ideal conditions, what might be missing now? How you might adjust the implementation, if not fully effective?

 

Slide 11: Conclusions and Recommendations

Conclude what you have accomplished.  What have you learned?  Why is it any good?   Why is it relevant to your work?   Make recommendations for the future.
